How to Register as a UN Vendor

Vendor Registration
The United Nations Procurement Division (UNPD) is pleased to announce that registering with UNPD is now a "One-Step" fully "On-Line" process.  In its continued partnership with the United Nations Global Marketplace (UNGM), UNPD and UNGM have worked together to provide vendors with a powerful yet easy-to-use tool to prepare and submit an on-line application for registration with UNPD.  In addition, the registration criteria has been revised and now allows vendors to select the level of business activity they wish to participate in that best matches their capacities,  business scope and commercial strategy.

Why Register?

After making yourself familiar with the UN business opportunities at http://www.un.org/depts/ptd/eoi.htm, registering with UNPD is the first step to be considered for participating in tendering exercises in an easy and systematic way.  

Basics for Applying On-Line in UNGM

Pre-requisites for Eligibility:  All applications for registration must include a signed pre-requisite for eligibility disclosure form. It is important that applicants download the form, hand sign it, convert the signed document to an Adobe Acrobat (.pdf file format) document, and upload as directed.

Meeting the Registration Criteria: It is highly recommended that your company prepare in advance to meet the registration criteria for applying on-line in order to efficiently process your application.  Depending on the Level of Registration being applied for, the documents listed below under Levels 1 through 4 should be ready for uploading in Adobe Acrobat .pdf file format.  Other basic information such as names, owners, principals, address, contact information, telephone, e-mail, etc. will be requested through the on-screen application form.

For Level 1 - Estimated Contract Award less than US $200,000:

Documents required in Adobe Acrobat PDF Format:

  • Current certificate of incorporation or equivalent document verifying legal status/capacity.
  • Three Letters of Reference from (or a list of) three independent, non-affiliated clients/companies whom you have sold your product and/or service during the last year

On-line Screen Information that will be requested:

  • Name, owners, address, contact information, telephone, e-mail, etc.

For Level 2 - Estimated Contract Award US $200,000 to less than US $1 MILLION

Documents required in Adobe Acrobat PDF Format:

  • Same as Level 1 plus:
  • Certificate of quality standards you adhere to and evidence of quality control programme (ISO certification or equivalent).
  • Financial documents (audited/certified financial statements or equivalent) for the last three years.

On-line Screen Information that will be requested:

  • Same as for Level 1 plus:
  • The names of intermediaries, agents and/or consultants, (if any) used in relation to United Nations contracts or bids/proposals.
 
For Level 3 - Estimated Contract Award US $1 MILLION to less than US $5 MILLION

Documents required in Adobe Acrobat PDF Format:

  • Same as Level 2 plus:
  • Documentation and information to demonstrate sufficient production and export capacities and international scope of operation to supply regional or international markets including proof of exports such as shipping/freight documents or relevant licenses to operate business.

On-line Screen Information that will be requested:

  • Same as for Level 2.
 
For Level 4 - Estimated Contract Award US $5 MILLION and Above

Documents required in Adobe Acrobat PDF Format:

  • Same as Level 3 plus:
  • A copy of your Code of Ethics and/or Anti-Fraud Compliance Programme, or equivalent.
  • OPTIONAL: Evidence of your company's participation in UN Global Compact, a copy of your ISO 14000 certification or equivalent.

On-line Screen Information that will be requested:

  • Same as for Level 3.
 
Registration for Air Transportation Companies: AIR TRANSPORTATION COMPANIES interested in being considered for the provision of air transportation services to the United Nations must follow the instructions in the Technical and Operational Evaluation Criteria Section which can be downloaded and printed for your ease of reference http://www.un.org/depts/ptd/pdf/tech.pdf.

Evaluation of Applications:  Each application will be evaluated by UNPD on the basis of compliance with the pre-requisites for eligibility disclosure, completeness and quality of information provided, relevance of the goods or services, references, experience, evidence of ability to perform, and the overall financial soundness of the vendor.  Successful vendors will be notified of their acceptance into the UNPD Vendor Database by e-mail addressed from the UNGM Registry.

Important Tips and Information

Selection of codes from the United Nations Common Codification System (UNCCS):   UNPD uses the UNCCS codes to search suppliers for bidding opportunities. It is important for vendors to note that, they are limited to select up to seven (7) UNCCS.  UNPD will take into consideration ONLY the first seven (7) codes listed on the screen in your company's application. Therefore, vendors are encouraged to prioritize and limit their selection of the UNCCS codes to ensure that their "core" goods and/or services are fully represented.  

Change of Company Status/Information: When the status of your company changes from the time of registration, you are required to update your company profile on UNGM by submitting the most current and valid copy of the document issued by your public authority that confirms said status without delay.

Invitations to tendering exercises: Submitting a completed application through UNGM does not mean that you will be automatically included in the Database. Registration will depend on the result of the evaluation. UNPD will attempt to include all registered vendors in vendor solicitations for each commodity category.

GSA Contracts:  For companies in the USA, you are advised that the United Nations, under the Foreign Assistance Act of 1961, is eligible to receive full benefits under GSA Contracts where applicable.
